Since I been getting so many PMs and people not always looking through all the topics...I thought I might post the details so far.
Planned one week after release to give people a chance to get the game and get online and saturday due to no school and workers getting off.

Thanks to FenixStryk for PMing me this summary (I changed it very slightly)

Day: Saturday, November 4th
Timezone: EST (50% and PST+CST other 50%)
Time: 12 noon EST all day(?)
Place: Parum Outdoor Mini-bar
Universe: 15 (Offical PSOW Universe)

Details for the recording:
A few clips of everyone just chilling and socializing.
Get a 3-5 second clip of each person (or pair) who comes to the get together doing an emote of some sort and I will put their name and ID from the forum on the clip. Can say someting while doing the emote, but keep it appropriate.
At least two clips of synchronized dancing.
Synchronized Cheer emote.
Synchronized Wave goodbye emote.

Update for the Xbox360 Meetup:
I did find someone to host and record the Xbox360 version meetup. I wanted to fully make sure he was ready and willing before I updated this. You might know him already and his a local member of PSOW. It will be Ryogen. You might know him from making those live cams for users on his site. He has ensured me that he will make the Xbox360 meeting interesting and as interactive as possible. If you have questions about the Xbox360 meetup, contact him or his Gamertag Ryogen (I believe thats what he told me).
I will be working close with him today and tomorrow for smooth flow of the meetup.

I will provide further details when I get more time to post.

I will update this as things are finalized.

Because the last 2 days we been discussing this and it ending in a total disaster. No one knows how many Worlds or Universes there will be on the release...so its best just to wait til the release to continue any further discussion of which World/Universe to choose.

TO PC/PS2 PLAYERS:

Hey guys, I will have a speical friend of mine form my guild to be the live cam for the event. His name is Nuclear Ranger. You might see him stading around in-game but he is actually in first person mode recording the event viva fraps and also Live Cam. Everyone on PSOW who is not able to attend or see the PS2/PC party can watch the live cam to recive static images every 15 seconds.

Some images will be collected and posed on PSOW so keep an eye out. Also please DON'T ABUSE THE CAM. YOU CAN MINGLE BUT DON'T BLOCK THE VIEW OR OR CROUD AROUND THE CAM. Thanks everyone, see you soon.

It was brought up to my attention that we do need a end time or estimate time on how long the party will be.
I say roughly 3 to 4 hrs would be good since most people would like to go off and play and not stay all day for the meetiing. But its not really my decision, what you guys think?

I must admit, though, the party was unusallu small. At its peak, there were only 15 people, and the party pretty much ended after an hour. It really bothered me.
